QuickBooks Desktop 2023 Discontinued Notifications Explained

If you’ve recently opened an email from Intuit or seen a pop-up in your software stating that QuickBooks Desktop is being "discontinued," you aren’t alone in your concern. For many business owners, this message triggers a moment of panic. However, "discontinued" doesn't necessarily mean the software is going away entirely—it usually refers to Intuit’s standard version "sunsetting" cycle.
Here is a breakdown of what is actually happening, what it means for your business, and how to decide on your next steps.
The Reality Behind the "Discontinued" Label
For over a decade, Intuit has followed a three-year lifecycle for its Desktop products. When a version reaches three years of age, Intuit "sunsets" it to focus on newer versions with better security and modern banking integrations.
The Current Sunset Schedule:
May 31, 2024: Support ended for QuickBooks Desktop 2021.
May 31, 2025: Support ended for QuickBooks Desktop 2022.
May 31, 2026: Support ends for QuickBooks Desktop 2023.
What Actually Happens After the Deadline?
A common misconception is that the software will simply stop opening. While your data remains on your computer and you can still run reports or enter data manually, you will lose access to three critical areas:
Connected Services: If you use QuickBooks Enhanced Payroll, Bank Feeds, or Merchant Payments, these features will stop working immediately.
Security & Maintenance: You will no longer receive critical security patches or bug fixes, leaving your financial data more vulnerable to modern threats. Special note, in our opinion, this claim hasn't been fully challenged and sometimes proves otherwise. We don't believe there are any specific security issues other than Intuit's policy of relying solely on the Windows operating system. You'll encounter this notification when trying to run a supported version of QuickBooks Desktop (e.g., 2024) on an unsupported Windows operating system (e.g., Windows 10).
Live Support: Intuit’s technical support team will no longer offer assistance for sunsetted versions.
Think of it like driving an older car without insurance: It still runs, but if you break down or need a specific feature fixed, you are on your own.
Frequently Asked Questions
Q: Will I lose my company data? No. Your data is stored locally on your hard drive. You can still open your company file and view your history even after the sunset date.
Q: Why does Intuit do this every year? The three-year cycle ensures that the software remains compatible with changing bank security protocols and Windows operating system updates.
Q: I don't use Payroll or Bank Feeds. Do I still need to upgrade? Technically, no. If you use QuickBooks strictly for offline record-keeping, you can continue using your current version.
Your Strategic Next Steps
Depending on how you use your software, you generally have three paths forward:
Path A: Upgrade to QuickBooks Desktop 2024. This is the best move if you love the Desktop interface but need to keep your Payroll and Bank Feeds active. Login to CAMPS as the Primary Contact and you will find your license and product code to install QuickBooks Desktop 2024 and upgrade your company files.
Path B: Migrate to QuickBooks Online or Intuit Enterprise Suite. If you want cloud access and automated updates without worrying about a sunset schedule, this is the time to consider making the switch. You will need a 3rd party solution if you prefer to run QuickBooks Desktop with cloud access capability.
Path C: Stay Put (Offline Use). This is only recommended for businesses that do not use any integrated services and are comfortable managing their own data security and backups. As long as you pay the renewal fee this year, you are allowed to run your QuickBooks Desktop 2023
What we can help YOU: We're confident Intuit will make an announcement regarding the fate of QuickBooks Desktop Pro, Premier, and Mac in the coming months. If you're using one of those editions, QuickBooks Desktop 2024 will likely be your last. Contact us if you need our advice to help you make a decision for next year. One of our biggest concerns is what Intuit will propose for QuickBooks Desktop Pro, Premier, and Mac users whose licenses expire after May 31. Will they still have to pay the full renewal fee or just a portion until next year? If your license renewal is due this year, you can also contact us directly and get around $250 cashback when paying with a US business credit card or ACH. We can then help you secure a subscription license at a very competitive price to upgrade your company files to QuickBooks Desktop Enterprise. Intuit is very likely to release QuickBooks Desktop 2027 Enterprise this year.
